Written communication for families
District staff may need translated enrollment forms, family notices, permission forms or letters about school activities. Identify the audience for each document and the languages requested. A message for all families may have a different distribution plan from a letter addressed to one student's household.
Send the approved written material and describe how families will receive it. This page covers document translation. If your project also involves a meeting or a spoken conversation, keep that requirement separate when describing the work so it is not confused with the written files being quoted.
Prepare the source files for your project
Provide the current source version and include attachments, response slips and referenced forms that need translation. Check dates, contact names and school details before sending the file. If several schools use different versions, label them clearly and identify which wording is shared across the district.
Supply established school names, program titles or previously approved wording as reference material. State whether you need a reading copy or an editable file and explain the planned distribution format. File preparation and requested output should be agreed with the quote rather than assumed from the original document's appearance.
School records that need extra context
Some communications refer to a student's academic history or an individual education record. Identify what the supplied document is and who will read it, without relying on an internal file name. Include the complete source so abbreviations, headings and notes can be understood in their surrounding context.
Translation conveys the written material you provide; it does not review educational eligibility or determine compliance with a district's obligations. Your staff should confirm the approved source and required scope. A separately issued academic transcript has its own document page when that is the record needing translation.

Send the files, target languages and desired delivery date, noting any scheduled mailing or enrollment deadline. List how many language versions are needed for each document. If only selected pages are in scope, identify the range and explain whether supporting forms are included.
