Translate the export record you already have
Send the Japanese export certificate you already have, including every page that belongs to the record. A clear scan or photograph should show the edges of the page and any stamps, handwritten entries or text on the reverse. Mention anything that is difficult to read.
The certificate's heading helps identify the document being quoted. If your importer has requested several records, label the export certificate separately from invoices or other vehicle paperwork. The translation request covers your supplied document; it does not retrieve a missing certificate or a vehicle history.
Keep vehicle details easy to compare
Vehicle records contain short fields that need to remain easy to connect with their source. These may include a chassis number, model details, registration dates and the name of the recorded owner. Include the full page so nearby labels and notes are available with each entry.
Send any reference spelling your receiving office already uses for a person's name or address. Point out an apparent discrepancy in the original rather than changing the file yourself. Tell us if the office has specific instructions for dates or the presentation of vehicle identifiers.
Include the receiving office's instructions
Identify the importer, registration office or other organization that will receive the translation, along with the destination country and requested language. If they have sent a checklist or an email about translations, include it with your files. That information helps define the work you are requesting.
A request for a certified translation may be different from a request for a notarized document or another formality. Share the actual wording so the quote can address the requested output. Confirm any separate import or registration questions with the organization handling your vehicle.
