Start with your approved handbook
Provide the approved version of your employee handbook, with its issue date or version number. Include appendices, policy schedules and any separate acknowledgment page you want translated. If your team needs only selected policies, identify the sections and page ranges in your request.
An earlier draft can contain wording your company has since changed. Check the source before sending it, and flag any passages still awaiting internal approval. Translation follows the policies you supply; questions about drafting those policies or their legal effect belong with your HR and legal advisers.
Use your company's terms consistently
Company language often includes department names, job titles and terms employees see in other materials. Share a glossary, existing language versions or approved wording that the new translation should follow. Identify product names and internal program names that your organization keeps in their original form.
Explain who will read the handbook and where they work. A document for new warehouse employees may use different references from one for office staff. Concrete audience information is more useful than a general request to make the wording sound local or professional.
Specify the files your team needs
Send the source file you have and describe how you plan to distribute the translated handbook. State whether you need a reading copy or an editable file, and identify any tables, embedded forms or acknowledgment sections. Requested file formats and layout needs should be agreed as part of the quote.
If the handbook refers to a separate employment contract, include that document only if you also need it translated. List the target languages for each file. This makes it easier to distinguish one complete handbook from several related documents with different audiences.
Plan the next handbook update
For a revised handbook, include the new source version and identify the changed sections. Supply a prior translation as a reference if you have one, making clear which text has been approved and which needs replacement. Do not rely on a file name alone to explain the revision.
