Polish asylum documents translation is almost never about a Polish national seeking asylum. It is about papers issued in Poland to someone from Belarus, Ukraine, Chechnya or further away: a decision from the Urząd do Spraw Cudzoziemców, a Straż Graniczna interview record, a karta pobytu. We translate them into certified English for a US or Canadian asylum file.
Someone who sought protection in Poland before coming to the US carries a trail of Polish administrative documents, and an asylum officer or an immigration judge wants to know what each one decided.
Decisions from the Urząd do Spraw Cudzoziemców
The first-instance decision is a decyzja Szefa Urzędu do Spraw Cudzoziemców that grants status uchodźcy, grants ochrona uzupełniająca, grants only zgoda na pobyt ze względów humanitarnych, or refuses everything. An appeal goes to the Rada do Spraw Uchodźców, then to the Wojewódzki Sąd Administracyjny in Warsaw. The grounds run for pages and quote the applicant's own account. A US adjudicator compares that account with the one given here, so the translation follows the Polish wording closely, with dates and place names in the original spelling.
Straż Graniczna records and identity papers
The application is filed with the Straż Graniczna, which writes a protokół of the interview and issues the Tymczasowe Zaświadczenie Tożsamości Cudzoziemca, the TZTC. A person granted protection later holds a karta pobytu and a genewski dokument podróży. We translate the record and the cards, and transliterate Cyrillic names the way the Polish document did, with a note where the US file spells them differently.
Ukrainians under the special act
Many Ukrainians who stayed in Poland after February 2022 hold a PESEL with the UKR status, a zaświadczenie from the gmina, and sometimes a decision on cash support or a school record. These are not asylum decisions, and the translation says so, because an officer who reads one as a refusal of protection draws the wrong conclusion. A Belarusian may instead hold a humanitarian visa and a decision on pobyt czasowy, which is a residence permit, not protection.
Who is asking for your Polish asylum documents translation?
The translation is the same. What changes is whether the recipient wants anything added to it.
USCIS asylum offices
USCIS asks for a complete English translation of every foreign-language document and a signed certification from the translator. No notarization is needed.
An immigration judge expects each exhibit translated in full and certified, filed with the original. Courts refuse summaries, so every page you file is translated whole.
Refugee claims in Canada accept a certified translation with the translator's affidavit. Order the certified translation and add notarization if your application guide asks for it.
Three things that save a day of back and forth on a Polish asylum documents.
01
Send every page, including the envelopes
Police reports, threat letters, medical reports and newspaper clippings each count. Postmarks and envelopes show when and where a letter was sent, so scan them too.
02
Keep handwritten pages readable
Letters and notes are often handwritten. Photograph each page flat in good light, and tell us any names or places that are hard to make out.
03
Give us the names as your application spells them
Your I-589 fixes the English spelling of your name and of each family member. Tell us that spelling so every document in the file matches.
Details and pricing
What is included in a Polish asylum documents translation
One price per page covers the translation and its certification. A page is up to 250 words, and the quote tells you the page count before you pay.
Everything on the asylum documents is translated, including stamps, seals and handwritten notes. Tell us the English spelling you use for each name when you order.
I was refused protection in Poland. Should I translate the refusal for my US case?
That is a question for your attorney, who will want to read the whole decision first. We translate the decision in full, grounds included, with our signed certification, so your lawyer can see whether Poland refused on the facts, on credibility or on a procedural point before deciding how to present it. A partial translation of a decision is not something we offer, since a court can ask for the rest.
Can you translate evidence from Poland for an asylum case: police reports, press articles, medical records?
Yes. A protokół przyjęcia ustnego zawiadomienia o przestępstwie from a Polish police station, a hospital karta informacyjna, a court judgment or a Polish newspaper article naming the applicant all count as supporting evidence under the I-589 instructions, and each must come with a certified English translation. Send the full document; we do not summarize, and we mark anything the scan has cut off.
My interview in Poland was in Russian through an interpreter. What language is the record in?
Polish. The protokół is written in Polish by the officer, with the interpreter's name and language noted at the top, and you signed the Polish text after it was read back to you. So the document we translate is the officer's Polish summary of what you said, one step removed from your words, and we say that in the translator's note. Where the record transliterates a Chechen or Ukrainian name into Polish spelling, we keep that spelling and give the one your US file uses beside it.
How much does a certified translation cost?
Certified translation is $25 per page, with a page counted as up to 250 words. Notarization, a mailed physical copy and an apostille are optional and priced separately.
How long does a certified translation take?
Standard turnaround starts at 24 hours and depends on the length and language of your documents. If you have a deadline, include it in your quote request.
