Translation instructions for your receiving office
Start with the instructions for the Italian consulate, municipality or other office receiving your application. Name that office and explain which application the records support. If you have a checklist, appointment message or directions from your adviser, send the relevant translation instructions with your documents.
The requested language and formalities should come from your own recipient. Do not assume that a document accepted for a relative's application, or instructions from another office, establish the requirements for yours. Translation, certification and authentication can be separate parts of preparing a record.
If the instructions mention apostilles, sworn translation or a particular declaration, include the exact wording in your quote request. Those details need to be discussed before you order. A translation service does not determine citizenship eligibility or replace the receiving office's review of your application. For a court matter, follow your legal adviser's directions about the records and translation they need.
Civil records for your application
Your selected packet may contain birth, marriage or death records, along with other documents named by the receiving office. Provide complete copies, including annotations, stamps and attachments. A short entry added to the edge or reverse of a certificate can be part of the text that needs translation.
List each record and the person it concerns. If you have several versions of a certificate, identify the version you intend to use and keep any accompanying notes with it. The quote should cover the documents you actually supply. These examples do not establish which generations or events your application must document.
Names across generations
Family records may repeat names across several generations or record a surname differently over time. Share reference spellings already used in your application, and label the files so it is clear which person each record concerns. Include the issuing place and date where shown in the source.
Point out differences you have noticed, such as a name variation between a birth record and a later marriage record. The translation should reflect the supplied text rather than resolve a family-history question or silently amend an original. Your receiving office or adviser can explain how to address a discrepancy.
Send the packet for a quote
Send the full packet you want translated, the target language and your desired deadline. Include the receiving office's instructions and identify any records that are still being obtained. If the scope changes when another certificate arrives, make clear which files have been added or replaced.
Review the proposed document list and output before ordering. For individual records, the birth, marriage and death certificate pages provide direct routes to those services. If your request concerns a different Italian document, our Italian language page can help you describe the work without treating it as a citizenship application.
