Polish criminal record translation of the informacja o osobie from the Krajowy Rejestr Karny, the paper everyone calls a zaświadczenie o niekaralności, for the National Visa Center, USCIS, an adoption, an employer or a state licensing board, and into Polish of a US record for use in Poland.
Poland has one national register, so the police certificate a US checklist asks for is the same document whoever requests it. What changes is the format.
What the paper says
The form is a Zapytanie o udzielenie informacji o osobie with the answer entered at the bottom by the Biuro Informacyjne KRK or a punkt informacyjny at a sąd okręgowy. A clean record reads NIE FIGURUJE, with a line for each of the three kartoteki: kartoteka karna, kartoteka nieletnich and kartoteka osób pozbawionych wolności. The translation renders NIE FIGURUJE as not recorded and keeps the register names, because the consular officer compares it to the State Department reciprocity page, which describes exactly this document.
The e-KRK version
A certificate ordered through the e-KRK portal arrives as a PDF carrying a kwalifikowana pieczęć elektroniczna, and the Ministry of Justice says it is valid only as that file; a printout is not the document. We translate the visible text and the signature panel and attach the certification to the PDF, and we tell you to submit the original file alongside it rather than a scan. If the recipient wants paper, Polish consulates in the US take applications for the paper certificate.
When something is recorded
An entry lists the sąd, the sygnatura akt, the date of the wyrok, the kwalifikacja prawna as an article of the Kodeks karny (art. 178a § 1 k.k. is drunk driving, art. 278 § 1 k.k. theft), the kara with its length and whether it was w zawieszeniu. Zatarcie skazania, the automatic erasure of a conviction after a set time, means the entry leaves the register, but a US form still asks about the arrest, and then the court's odpis wyroku is what USCIS wants. We translate the article numbers with the offence named, and we do not soften warunkowe umorzenie into an acquittal; it is a conditional discontinuance.
Who is asking for your Polish criminal record translation?
The translation is the same. What changes is whether the recipient wants anything added to it.
USCIS and the National Visa Center
Consular processing asks for police certificates with a complete English translation and a signed certification. No notarization is needed.
IRCC accepts a certified translation with the translator's affidavit. Order the certified translation and add notarization if your application guide asks for it.
Three things that save a day of back and forth on a Polish criminal record.
01
Get the certificate first, then the translation
Most police certificates are valid for a few months. Have the certificate issued, then upload it, so the translation and the original are current together.
02
Check which authority the checklist names
A state letter, a federal letter and a court record are different documents. Read the consulate or USCIS checklist and send the one it asks for, or all of them.
03
Keep the QR code and verification number in the scan
Online certificates carry a QR code or a verification code. They are translated with the rest and are how a consulate confirms the document is genuine.
Details and pricing
What is included in a Polish criminal record translation
One price per page covers the translation and its certification. A page is up to 250 words, and the quote tells you the page count before you pay.
Everything on the criminal record is translated, including stamps, seals and handwritten notes. Tell us the English spelling you use for each name when you order.
The NVC wants a police certificate from Poland. Is the KRK certificate the right document?
Yes. Consular processing asks for a certificate from your country of nationality and from any other country you lived in long enough after age 16, and for Poland that is the KRK informacja o osobie. Adjustment of status inside the US usually does not ask for one. If you have ever been arrested anywhere, the court records are needed on both paths, and we translate the wyrok with the certificate so the dates and case numbers agree.
How long is a zaświadczenie o niekaralności valid?
The certificate itself carries no expiry date; the recipient sets the window. Polish employers often want one issued within the last few months, and US consulates have their own rule for how old a police certificate may be. Order the certificate close to when you will file, send it to us straight away, and the translation is dated the day it is certified so the two dates sit together.
I live in the US and need my FBI check translated into Polish. Can you do that?
Yes. Poland asks for a US record when a returning Pole applies for a teaching post under the Karta Nauczyciela, a pozwolenie na broń, an adoption, or licensed security or transport work. The FBI Identity History Summary is apostilled by the US Department of State, a state police check by that state's Secretary of State, and the apostilled document is what we translate. Some offices want a tłumacz przysięgły, so ask before ordering.
How much does a certified translation cost?
Certified translation is $25 per page, with a page counted as up to 250 words. Notarization, a mailed physical copy and an apostille are optional and priced separately.
How long does a certified translation take?
Standard turnaround starts at 24 hours and depends on the length and language of your documents. If you have a deadline, include it in your quote request.
