Polish background check translation for a US employer, a licensing board, a landlord or a security clearance that has to verify years spent in Poland. We translate the świadectwo pracy from each employer, the zaświadczenie o zameldowaniu, the ZUS insurance history and the diplomas a screening firm asks for.
A US screening firm rarely gets an answer from a Polish HR department, so the check runs on documents the candidate already holds, and Polish law makes employers and offices issue several of them.
Świadectwo pracy, the leaving certificate every employer must give
The Kodeks pracy requires an employer to issue a świadectwo pracy when employment ends. It states the dates, the stanowisko, the wymiar etatu (full or part time), unused leave and the tryb rozwiązania umowy with its article: art. 30 § 1 pkt 1 k.p. is by mutual agreement, pkt 2 by notice, pkt 3 without notice, and art. 52 k.p. is dismissal for fault. A screening report needs that distinction, so the translation names the article and its meaning rather than writing that the contract ended. For an umowa zlecenie there is no świadectwo; the contract and the rachunki stand in.
Address history: zameldowanie
Poland registers residence. The urząd gminy or urząd miasta issues a zaświadczenie o zameldowaniu na pobyt stały with the current address and, on request, the previous ones with dates, which answers the address-history section of a US form better than any utility bill. Many Poles who emigrated never filed a wymeldowanie, so the certificate may still show a Polish address years after they left. The translation does not fix that; a short translator's note can explain what zameldowanie is, and the screening firm takes it from there.
Registers beyond the KRK
A job with children in Poland triggers a query of the Rejestr Sprawców Przestępstw na Tle Seksualnym, in force since 2017, which has a public part anyone can search and a rejestr z dostępem ograniczonym that an employer queries about a named person. The printout of that query result is what gets translated. Driving jobs ask for the police record of punkty karne, and a candidate from a regulated profession adds the entry from the professional register, such as the Okręgowa Izba Lekarska for a doctor. Each is a separate page, and each is translated with the issuing office named.
Who is asking for your Polish background check translation?
The translation is the same. What changes is whether the recipient wants anything added to it.
USCIS and the National Visa Center
Green card and visa applications ask for police and court records with a complete English translation and a signed certification. No notarization is needed.
An employer or a professional board checking your record from abroad accepts a certified translation they can read next to the original. Ask whether they want a hard copy.
An FBI or state background check going to another country usually needs an apostille and a translation into that country's language, sometimes notarized.
Three things that save a day of back and forth on a Polish background check.
01
Get the check issued first, then order the translation
Most background checks are valid for a few months. Have it issued, then upload it, so the translation and the original are current together.
02
Send the report the checklist names
A police certificate, a court record and an FBI identity history summary are different documents. Read the employer or consulate checklist and send the one it asks for.
03
Keep the verification code in the scan
Online reports carry a QR code or a reference number that the recipient uses to confirm the result. Scan the whole page so it is translated with the rest.
Details and pricing
What is included in a Polish background check translation
One price per page covers the translation and its certification. A page is up to 250 words, and the quote tells you the page count before you pay.
Everything on the background check is translated, including stamps, seals and handwritten notes. Tell us the English spelling you use for each name when you order.
My old employer in Poland no longer exists. How do I prove I worked there?
Through ZUS. Every employment contract was reported to ZUS by the employer, and your PUE ZUS account can produce a printout of the okresy ubezpieczenia listing each płatnik, the dates and the contribution base. A screening firm reads that as independent confirmation of the dates on a świadectwo pracy, and it covers a company that has since been wound up. We translate the printout with the ZUS header and the płatnik names as printed.
I was a board member of a Polish company. What proves that for a US employer?
The company's entry in the Krajowy Rejestr Sądowy. An odpis pełny, downloaded free from the eKRS site, lists in dział 2 every członek zarządu and prezes with the date each was entered and struck, so it dates your term without a letter from the company. The aktualny version shows only the current board, so ask for the pełny one. We translate the register headings and the entries as printed, and leave the KRS, NIP and REGON numbers untouched.
Do you translate the dyplom and references as part of the check?
Yes. Education verification wants the dyplom and, for a degree since 2005, the suplement do dyplomu that lists the courses. References from Polish managers usually come as a short referencje or opinia on letterhead, and we translate those in full with the signature block. One order can hold the employment, address and education papers together, and the screening firm receives them as one certified set.
How much does a certified translation cost?
Certified translation is $25 per page, with a page counted as up to 250 words. Notarization, a mailed physical copy and an apostille are optional and priced separately.
How long does a certified translation take?
Standard turnaround starts at 24 hours and depends on the length and language of your documents. If you have a deadline, include it in your quote request.
