Russian background check translation for a US employer, a nursing or teaching licence board, an adoption agency, a landlord or a security clearance, and into Russian for a job or residence permit in Russia or Kazakhstan. A Russian check is a set of papers from different offices rather than one report, and we translate each with a signed certification.
A Russian background check is a folder, not one report
Russia has no commercial background report to order, so a US employer or board gets the pieces an applicant can collect themselves, each from a different office.
Criminal, employment and education
The criminal piece is the МВД справка о несудимости. The employment piece is the трудовая книжка or its electronic replacement, with each entry quoting the hiring приказ number and the dismissal ground, and a справка с места работы confirming the last position. The education piece is the диплом with its приложение; US boards also ask for confirmation from the university, which a Russian вуз gives as a справка with the registrar's stamp. We translate the set together so dates and the spelling of the employer agree across the papers.
Certificates from the ПНД and the НД
Russian jobs with children, driver's licences, weapons permits and domestic adoption all require two certificates: a справка from the психоневрологический диспансер that the person is not registered for psychiatric treatment, and one from the наркологический диспансер that they are not registered for drug or alcohol dependency. US adoption agencies working with families from Russia, and some licensing boards, ask for the same two. The wording is на учёте не состоит, is not on the register, and we translate it literally, since not registered is not the same as never treated.
The характеристика
Older Russian files include a характеристика, a one-page character reference from an employer, a school or a housing committee that the Soviet system used for every move, and which some employers still write. It describes the person in set phrases, дисциплинирован, пользуется уважением в коллективе, and ends with the purpose, дана для предъявления по месту требования, given for presentation where required. A US reader has no counterpart, so the translation keeps the stock wording and adds nothing to it; the stamp and the signer's position are what give it weight.
Who is asking for your Russian background check translation?
The translation is the same. What changes is whether the recipient wants anything added to it.
USCIS and the National Visa Center
Green card and visa applications ask for police and court records with a complete English translation and a signed certification. No notarization is needed.
An employer or a professional board checking your record from abroad accepts a certified translation they can read next to the original. Ask whether they want a hard copy.
An FBI or state background check going to another country usually needs an apostille and a translation into that country's language, sometimes notarized.
Three things that save a day of back and forth on a Russian background check.
01
Get the check issued first, then order the translation
Most background checks are valid for a few months. Have it issued, then upload it, so the translation and the original are current together.
02
Send the report the checklist names
A police certificate, a court record and an FBI identity history summary are different documents. Read the employer or consulate checklist and send the one it asks for.
03
Keep the verification code in the scan
Online reports carry a QR code or a reference number that the recipient uses to confirm the result. Scan the whole page so it is translated with the rest.
Details and pricing
What is included in a Russian background check translation
One price per page covers the translation and its certification. A page is up to 250 words, and the quote tells you the page count before you pay.
Everything on the background check is translated, including stamps, seals and handwritten notes. Tell us the English spelling you use for each name when you order.
My employer uses a screening company. What do they want from Russia?
Screening firms cannot pull Russian records themselves, so they ask you to obtain the МВД certificate and proof of past employment and upload them with a translation. The certificate from Госуслуги is accepted by most as long as the electronic signature page is included, so download the full PDF, not a screenshot. Employment is proven with the трудовая книжка pages or a справка from the former employer.
I am taking a job in Russia. What do they want from my US background check?
A Russian employer hiring a foreigner to work with minors must see a certificate of no criminal record from the applicant's home country under article 331 of the Labour Code, apostilled, translated into Russian and certified by a Russian notary. For an American that means the FBI summary, apostilled. The work permit itself asks for medical certificates, HIV, tuberculosis and drug tests, done in Russia. We translate the FBI summary and any US medical papers into Russian.
I already live in the US. Can I still get the Russian certificate?
Yes, without travelling. With a confirmed Госуслуги account you order it online and receive the signed PDF. Without one, a Russian consulate accepts the request and forwards it to the МВД, and the paper certificate comes back through the consulate, which takes longer. A relative in Russia with a notarized power of attorney can also collect it. Whichever route you use, we translate the certificate as issued.
How much does a certified translation cost?
Certified translation is $25 per page, with a page counted as up to 250 words. Notarization, a mailed physical copy and an apostille are optional and priced separately.
How long does a certified translation take?
Standard turnaround starts at 24 hours and depends on the length and language of your documents. If you have a deadline, include it in your quote request.
