Polish employee handbook translation for a US company opening in Poland, a Polish subsidiary adopting a parent's policies, or a US employer with Polish-speaking crews. In Poland the handbook is not one document but several required ones: the regulamin pracy, the regulamin wynagradzania, BHP rules and, since 2024, a whistleblower procedure. We translate them in both directions.
A US handbook is one voluntary document. Polish law breaks the same content into separate regulaminy with their own thresholds, consultation rules and wording.
Regulamin pracy and regulamin wynagradzania
An employer with at least fifty employees must adopt a regulamin pracy, which fixes working time, the start and end of the workday, pay dates, BHP duties and the disciplinary penalties the Kodeks pracy allows. A regulamin wynagradzania sets pay components and bonuses. Both are agreed with a trade union where one exists, posted so every employee can read them, and take effect two weeks after posting. Translating a US handbook into Polish is partly drafting: "at-will employment", "exempt employee" and "PTO accrual" have no Polish legal meaning and need a note, not a word.
Policies Polish law makes mandatory
The Kodeks pracy obliges every employer to counteract mobbing, so Polish firms keep a procedura antymobbingowa. Remote work rules under the 2023 amendment belong in a regulamin pracy zdalnej. Since September 2024 the ustawa o ochronie sygnalistów requires an internal reporting procedure at companies with fifty or more staff. A US parent's handbook usually covers these under harassment, telework and ethics hotline sections, and we map each to its Polish counterpart so the Polish text uses the term an inspector from the Państwowa Inspekcja Pracy expects.
Polish into English for a US employer
The reverse case is a Polish company's regulamin going to a US owner, a due diligence team or a US court in a wage dispute. Terms like urlop na żądanie, the four days of leave taken on demand, zwolnienie lekarskie, the e-ZLA sick note, and okres wypowiedzenia need an English rendering that carries the entitlement behind the word. US employers of Polish-speaking construction, trucking and warehouse crews also translate their own safety rules into Polish; OSHA requires training in a language the worker understands, and a handbook the crew can read is the plainest proof.
Who is asking for your Polish employee handbook translation?
The translation is the same. What changes is whether the recipient wants anything added to it.
Employers and HR departments
Employers give staff a handbook in a language they read, and keep a signed acknowledgment of the translated version on file. A certified translation shows the two versions say the same thing.
In a wage, discrimination or safety dispute, the handbook the employee received is an exhibit. A certified translation lets the agency or court compare it to the English original.
Handbooks and employment policies submitted with a work visa petition need a complete English translation and a signed certification from the translator. No notarization is needed.
Three things that save a day of back and forth on a Polish employee handbook.
01
Send the final version
A handbook is revised often. Upload the version HR has approved, with the acknowledgment page employees sign, so the translation matches what is on file.
02
Send the editable file if you have it
A Word file instead of a scan keeps the headings, tables and section numbers intact, so the translated handbook reads in the same order as the English one.
03
Tell us the terms your company uses
Job titles, department names and policy names often have a house translation already. List them in the order notes and the handbook follows them.
Details and pricing
What is included in a Polish employee handbook translation
One price per page covers the translation and its certification. A page is up to 250 words, and the quote tells you the page count before you pay.
Everything on the employee handbook is translated, including stamps, seals and handwritten notes. Tell us the English spelling you use for each name when you order.
Can we just give our Polish staff the English handbook?
Not as the binding document. Each employee must be acquainted with the regulamin pracy before starting work and confirms that in writing for the akta osobowe, and a labour inspector treats an English-only text as one the staff were never acquainted with. The English original can remain the reference for the parent company, with a clause saying which version governs in Poland. Have a Polish employment lawyer confirm the sections that conflict with the Kodeks pracy before the Polish version is posted.
How is a handbook priced?
By the page, at $25 for each page of up to 250 words, so a handbook is priced by its word count rather than its layout. Send the Word or PDF file; we keep headings, numbering and cross-references so section 4.2 in English is 4.2 in Polish. US-only sections, state leave laws for example, still count as text, so trimming them before sending saves money and spares your Polish staff pages that do not apply to them.
Do we need a sworn translator for a regulamin pracy?
No. A regulamin pracy is the employer's own internal act, not a document filed with a court or office, and Polish law does not require a tłumacz przysięgły for it. It needs an accurate Polish text that a labor inspector and an employee can read. The exception is litigation: if the regulamin becomes evidence in a sąd pracy, the court may want a sworn translation of the parts written in English, and that is a Polish appointment we do not hold. We will tell you when that step applies.
How much does a certified translation cost?
Certified translation is $25 per page, with a page counted as up to 250 words. Notarization, a mailed physical copy and an apostille are optional and priced separately.
How long does a certified translation take?
Standard turnaround starts at 24 hours and depends on the length and language of your documents. If you have a deadline, include it in your quote request.
