French employee handbook translation, most often from English into French for a US company with staff in France, Québec, Wallonia or Romandie, and the other way when a head office needs to read a French subsidiary's règlement intérieur or accord d'entreprise. We translate the handbook, its acknowledgment page and every policy annex, certified and signed.
France has no handbook; it has a règlement intérieur
A US handbook mixes culture, benefits and rules into one booklet. French labour law splits those into documents with different legal weight, and a translation that ignores the split produces a text French staff and the inspection du travail cannot use.
The règlement intérieur is a regulated document
An employer in France with at least fifty employees must have a règlement intérieur, and the Code du travail limits it to health and safety, discipline, the scale of sanctions and the rules on harassment and the rights of the defence. It goes to the CSE for an opinion, to the inspection du travail and to the greffe of the conseil de prud'hommes before it applies. When we translate a US handbook, we flag which chapters would sit in a règlement intérieur and which belong in a livret d'accueil or a separate policy, so French counsel can split it.
At-will, PTO and other words with no French meaning
At-will employment does not exist in France, Belgium, Switzerland or Québec, and a clause saying either side may end the relationship at any time reads as void or as a threat. Paid time off is congés payés, set by law at five weeks in France, and sick pay comes mainly from the Assurance Maladie, with the employer topping it up. Harassment policies map onto harcèlement moral and harcèlement sexuel, which the Code du travail defines in its own words. We translate the US policy as written and add a translator's note where French law gives the term a different meaning, so HR knows what to rewrite.
Québec and Belgium require the French version
In Québec the Charte de la langue française requires that documents on conditions of employment and training material be given to staff in French, and since June 2025 employers with twenty-five or more employees register with the Office québécois de la langue française for francization. In Belgium the language of employer-employee documents is fixed by region: Dutch in Flanders, French in Wallonia, and in Brussels the employee's language. A handbook for Liège or Montréal is translated into French as a matter of law.
Who is asking for your French employee handbook translation?
The translation is the same. What changes is whether the recipient wants anything added to it.
Employers and HR departments
Employers give staff a handbook in a language they read, and keep a signed acknowledgment of the translated version on file. A certified translation shows the two versions say the same thing.
In a wage, discrimination or safety dispute, the handbook the employee received is an exhibit. A certified translation lets the agency or court compare it to the English original.
Handbooks and employment policies submitted with a work visa petition need a complete English translation and a signed certification from the translator. No notarization is needed.
Three things that save a day of back and forth on a French employee handbook.
01
Send the final version
A handbook is revised often. Upload the version HR has approved, with the acknowledgment page employees sign, so the translation matches what is on file.
02
Send the editable file if you have it
A Word file instead of a scan keeps the headings, tables and section numbers intact, so the translated handbook reads in the same order as the English one.
03
Tell us the terms your company uses
Job titles, department names and policy names often have a house translation already. List them in the order notes and the handbook follows them.
Details and pricing
What is included in a French employee handbook translation
One price per page covers the translation and its certification. A page is up to 250 words, and the quote tells you the page count before you pay.
Everything on the employee handbook is translated, including stamps, seals and handwritten notes. Tell us the English spelling you use for each name when you order.
Should the French version be in France French or Québec French?
Tell us where the staff sit. The law and the vocabulary differ: a Québec text says gestionnaire where France says manager, courriel for email, and refers to the Loi sur les normes du travail and the CNESST rather than the Code du travail and the inspection du travail. For a company with staff in both, we translate one base text and adjust the terms and legal references in a second version rather than translating twice.
Do you translate a French règlement intérieur or accord d'entreprise into English?
Yes. A US parent reviewing a French subsidiary, a due-diligence team or an employment lawyer handling a dispute needs the règlement intérieur, the accords d'entreprise on working time and télétravail, and the applicable convention collective, often Syntec or the métallurgie agreement, in English. We keep the article numbers of the Code du travail cited in the text and translate the whole of a convention collective extract, since those clauses set notice periods and pay that a US reader will not find anywhere else.
Does the acknowledgment page need a signature in French?
In France a règlement intérieur applies once it is posted and filed, not once each employee signs, so the signed acknowledgment is a US habit that French courts do not rely on. It does no harm, and we translate it. A policy that changes an employee's terms is expected to come as a written avenant to the contract signed by both sides, and a charte informatique or a télétravail charter goes to the CSE first. We translate the acknowledgment and tell you when French counsel should turn it into an avenant.
How much does a certified translation cost?
Certified translation is $25 per page, with a page counted as up to 250 words. Notarization, a mailed physical copy and an apostille are optional and priced separately.
How long does a certified translation take?
Standard turnaround starts at 24 hours and depends on the length and language of your documents. If you have a deadline, include it in your quote request.
