Vietnamese employee handbook translation runs in both directions. A company in Vietnam has a nội quy lao động, the internal labor regulations the Labor Code requires, and head office in the US wants it in English. A US employer with Vietnamese-speaking staff in a nail salon, a seafood plant or a warehouse wants its handbook in Vietnamese so each worker can sign the acknowledgment. We do both.
A nội quy lao động is not an employee handbook, and the translation should say so
The two documents do different jobs. Knowing which one you hold decides what the translation has to preserve.
What the Labor Code puts in a nội quy lao động
An employer with ten or more staff must issue written internal regulations and register them with the provincial labor authority, since 2025 the Sở Nội vụ, within ten days. The law fixes the chapters: working hours and rest, order in the workplace, occupational safety, prevention of sexual harassment, protection of assets and business secrets, temporary transfer to other work, the acts that count as violations with their forms of discipline, material liability, and who holds the power to discipline. We translate the registration stamp, the note of consultation with the công đoàn cơ sở and the clause numbering, because head office counsel reads it against the statute.
Four forms of discipline, in the law's words
Vietnamese law allows exactly four sanctions: khiển trách, a reprimand; kéo dài thời hạn nâng lương, postponing the next pay rise by up to six months; cách chức, removal from a position; and sa thải, dismissal, which is lawful only on the grounds the statute lists. There is no at-will termination. A handbook translation that renders sa thải as termination hides that limit, so we give the Vietnamese term in brackets at first use and translate the grounds for dismissal as the regulations state them, usually copied from the statute word for word.
Taking a US handbook into Vietnamese
At-will employment, FMLA, OSHA, a 401(k) match and an EEO statement have no Vietnamese counterparts. We keep the US term and explain it in a short Vietnamese gloss rather than borrowing a Vietnamese legal word that means something else. The register matters too: a handbook addressed to bạn reads as casual, one addressed to anh chị as a letter, and one that uses người lao động and Công ty reads as a rulebook, which is what workers in Vietnam expect from a document they sign. For a US company opening in Vietnam the translated handbook does not replace the nội quy; that still has to be drafted to the statute and registered locally.
Who is asking for your Vietnamese employee handbook translation?
The translation is the same. What changes is whether the recipient wants anything added to it.
Employers and HR departments
Employers give staff a handbook in a language they read, and keep a signed acknowledgment of the translated version on file. A certified translation shows the two versions say the same thing.
In a wage, discrimination or safety dispute, the handbook the employee received is an exhibit. A certified translation lets the agency or court compare it to the English original.
Handbooks and employment policies submitted with a work visa petition need a complete English translation and a signed certification from the translator. No notarization is needed.
Three things that save a day of back and forth on a Vietnamese employee handbook.
01
Send the final version
A handbook is revised often. Upload the version HR has approved, with the acknowledgment page employees sign, so the translation matches what is on file.
02
Send the editable file if you have it
A Word file instead of a scan keeps the headings, tables and section numbers intact, so the translated handbook reads in the same order as the English one.
03
Tell us the terms your company uses
Job titles, department names and policy names often have a house translation already. List them in the order notes and the handbook follows them.
Details and pricing
What is included in a Vietnamese employee handbook translation
One price per page covers the translation and its certification. A page is up to 250 words, and the quote tells you the page count before you pay.
Everything on the employee handbook is translated, including stamps, seals and handwritten notes. Tell us the English spelling you use for each name when you order.
We run nail salons in Texas and California. Why translate the handbook into Vietnamese?
Because an acknowledgment signed by someone who could not read the document is weak evidence in a wage claim or a harassment complaint. A handbook in Vietnamese, with the English alongside and a clause saying the English controls, shows the worker was told the rules in a language she reads. The sections that matter most in a salon are tip handling, booth rental versus employment, chemical safety and the harassment reporting route, and those are the ones to get right in Vietnamese.
Our Vietnam subsidiary sent a nội quy and a thỏa ước lao động tập thể. What is the second one?
A collective labor agreement negotiated between the company and the trade union and filed with the provincial labor authority. It may only improve on the law and on the nội quy, so it is where the extra leave days, the Tết bonus and the meal and fuel allowances live. We translate both documents together and keep the cross references, because a clause in the thỏa ước often overrides the matching clause in the nội quy.
Do you translate the quy chế lương, thưởng as well?
Yes. The pay and bonus regulations set out the thang lương and bảng lương, the wage scale and wage table that social insurance contributions are computed from, the lương tháng 13 paid before Tết, and the seniority and performance bonuses. These are usually separate documents from the nội quy and are counted at $25 a page like it. A company reviewing a Vietnamese acquisition normally orders the three together.
How much does a certified translation cost?
Certified translation is $25 per page, with a page counted as up to 250 words. Notarization, a mailed physical copy and an apostille are optional and priced separately.
How long does a certified translation take?
Standard turnaround starts at 24 hours and depends on the length and language of your documents. If you have a deadline, include it in your quote request.
