Ukrainian employee handbook translation for an American employer with staff who arrived under Uniting for Ukraine or TPS, and for US companies with a team in Ukraine that must read policies in the state language. There is no handbook tradition in Ukraine. The nearest document is the правила внутрішнього трудового розпорядку, and a translated handbook has to live beside it.
Translating a handbook for readers who grew up under the КЗпП
A Ukrainian employee reads an American handbook against the Labor Code they know, and some policies have no Ukrainian counterpart at all.
At-will employment has no Ukrainian word
The Кодекс законів про працю lists the grounds on which an employer may dismiss, in Articles 40 and 41, and nothing else counts. An at-will clause is translated literally and then explained in a translator's note, because a line saying a person may be dismissed at any time without cause reads to a Ukrainian employee as unlawful rather than normal. The same goes for a probationary period, which in Ukraine is a випробувальний строк of up to three months fixed in the hiring order, and for exempt and non-exempt status, which has no equivalent and is glossed rather than invented.
Leave, sick days and overtime in Ukrainian terms
PTO is rendered as відпустка with a note that it combines what Ukraine splits into the щорічна основна відпустка of 24 calendar days and separate paid sick leave through the electronic лікарняний. Overtime is надурочна робота, capped and paid at double rate in Ukraine, so a policy of unpaid overtime for salaried staff needs a note. Harassment and bullying policies map onto мобінг, which entered the Code in December 2022 with its own definition, and we use that word so the policy is read as enforceable rather than as culture.
Policies going to a team in Ukraine
Under the 2019 state language law, workplace rules in Ukraine are issued in Ukrainian, and the ПВТР are adopted with the трудовий колектив, so a US handbook sent to a Kyiv office is translated as a company policy that sits under the ПВТР, not as a replacement for it. Remote work clauses match дистанційна робота, added to the Code in 2021, and the 2022 martial-law rule allowing an employer to suspend an employment contract has no US parallel. The acknowledgment page is rendered as the familiar з правилами ознайомлений(а) line with surname, initials, date and signature.
Who is asking for your Ukrainian employee handbook translation?
The translation is the same. What changes is whether the recipient wants anything added to it.
Employers and HR departments
Employers give staff a handbook in a language they read, and keep a signed acknowledgment of the translated version on file. A certified translation shows the two versions say the same thing.
In a wage, discrimination or safety dispute, the handbook the employee received is an exhibit. A certified translation lets the agency or court compare it to the English original.
Handbooks and employment policies submitted with a work visa petition need a complete English translation and a signed certification from the translator. No notarization is needed.
Three things that save a day of back and forth on a Ukrainian employee handbook.
01
Send the final version
A handbook is revised often. Upload the version HR has approved, with the acknowledgment page employees sign, so the translation matches what is on file.
02
Send the editable file if you have it
A Word file instead of a scan keeps the headings, tables and section numbers intact, so the translated handbook reads in the same order as the English one.
03
Tell us the terms your company uses
Job titles, department names and policy names often have a house translation already. List them in the order notes and the handbook follows them.
Details and pricing
What is included in a Ukrainian employee handbook translation
One price per page covers the translation and its certification. A page is up to 250 words, and the quote tells you the page count before you pay.
Everything on the employee handbook is translated, including stamps, seals and handwritten notes. Tell us the English spelling you use for each name when you order.
Do I have to translate the handbook for my Ukrainian employees?
No federal rule requires a translated handbook, but OSHA expects safety training in a language the worker understands, and a policy an employee could not read is hard to rely on in a dispute. Employers with Ukrainian staff in warehouses, trucking, meat processing and home care usually translate the sections on hours, pay, safety, discipline and how to report harassment, and leave benefit appendices in English with a short Ukrainian summary.
Our Ukrainian staff speak Russian at home. Which language do we translate into?
Usually Ukrainian. Most people schooled in Ukraine read it comfortably, including many from Kharkiv, Odesa or the Donbas who speak Russian at home, and a Ukrainian version is the one they expect from an employer. A Russian version is a separate translation, ordered under Russian, and is worth adding for older staff who were schooled in Russian.
The handbook is sixty pages. How is it priced, and can we drop sections?
A page is up to 250 words at $25, so a sixty-page handbook with wide margins and headings is fewer pages than it looks, and the word count decides. Send the full file and tell us which sections to leave out; a 401(k) or COBRA appendix usually goes. We translate the sections you keep in full and mark on the translation which sections were omitted, so the acknowledgment page refers to what the employee actually received.
How much does a certified translation cost?
Certified translation is $25 per page, with a page counted as up to 250 words. Notarization, a mailed physical copy and an apostille are optional and priced separately.
How long does a certified translation take?
Standard turnaround starts at 24 hours and depends on the length and language of your documents. If you have a deadline, include it in your quote request.
