Written for Vietnamese death certificate records

Giấy chứng tử, trích lục khai tử and giấy báo tử

Three different papers can show a death in Vietnam, and a US reader needs to know which one is on the desk.

The title changed in 2016

Before 2016 the Ủy ban nhân dân issued a giấy chứng tử, a death certificate. Since the Law on Civil Status took effect, the same office records the death in its register and hands out a trích lục khai tử, an extract of the death registration. Same office, same facts, different title. We translate each title as printed instead of calling both a death certificate, because an insurer that reads the word extract may ask where the original is, and the answer is that there is no other original.

What the registry entry records

The entry gives the deceased's name, date of birth, giới tính, dân tộc, quốc tịch, last residence and identity document number, then the date, time and place of death and the nguyên nhân chết, the cause of death, copied from the medical notice. It also names the người đi khai tử, the person who reported the death, with their relationship. That line matters: a daughter who registered her father's death is named on his record, and an officer checking a family tie can see it there.

The giấy báo tử from the hospital

A hospital, or the commune office when someone dies at home, issues a giấy báo tử, a death notice, before the death is registered. It states the cause in medical language and is the only paper some families hold when a death was never registered. On its own it is not the civil record, and a court or an insurer will say so. We translate it as a death notice, label it that way, and translate the registry extract beside it when you have both.

Who is asking for your Vietnamese death certificate translation?

The translation is the same. What changes is whether the recipient wants anything added to it.

USCIS

USCIS asks for a complete English translation and a signed certification from the translator. No notarization is needed.

USCIS translation requirements

Insurers and Social Security

Life insurance and survivor benefit claims accept a certified translation. Add the medical certificate if the claim turns on the cause of death.

Courts and consulates abroad

A probate court or a consulate handling a repatriation or an estate usually wants the original apostilled and the translation certified or notarized.

Apostille service

Before you upload

Three things that save a day of back and forth on a Vietnamese death certificate.

01

Send the civil record, not only the medical form

The registry act is the document recipients ask for. Add the doctor's certificate as a second file if an insurer or a court wants the cause of death.

02

Include the reverse and the stamps

Issue stamps, the registrar's signature and folio numbers often sit on the back or at the edge. Photograph both sides flat with the whole page in frame.

03

Give us the names as they appear elsewhere

Tell us the English spelling of the deceased and of the spouse or parents named on the record, so the translation matches the petition, policy or probate file it joins.

Vietnamese Death Certificate FAQ

Most questions about pricing and turnaround can be answered faster by requesting a quote.

My spouse died in Vietnam years ago and the death was never registered. What do I send?
A relative in Vietnam can still register the death late at the Ủy ban nhân dân of the last residence, using the giấy báo tử or other proof, and receive a trích lục khai tử. Where a person disappeared, at sea or during the war, a Tòa án nhân dân can issue a decision declaring the person dead. We translate that court decision in full, since USCIS treats it as the death record.
A life insurer wants more than the trích lục khai tử. What else is there?
The registry extract gives the cause in a word or two, and an insurer usually wants detail. For a death in hospital that is the giấy báo tử and the tóm tắt hồ sơ bệnh án. For a road accident it is the police biên bản describing the scene. For a cremation, the crematorium issues a giấy chứng nhận hỏa táng. We translate the set in one order so the name, the date and the place of death read the same on every page.
Do you translate a US death certificate into Vietnamese for an inheritance in Vietnam?
Yes. Heirs settling land or a house in Vietnam go to a Văn phòng công chứng, which needs the US death certificate with a state apostille and a Vietnamese translation. Families taking ashes home are asked for the same certificate by the consulate. We translate it and can notarize the translation here. A notary in Vietnam may still insist on a translation certified locally, so check before you order.
How much does a certified translation cost?
Certified translation is $25 per page, with a page counted as up to 250 words. Notarization, a mailed physical copy and an apostille are optional and priced separately.
How long does a certified translation take?
Standard turnaround starts at 24 hours and depends on the length and language of your documents. If you have a deadline, include it in your quote request.
