Ukrainian background check translation for a US employer's pre-employment screen, a licensing board, a tenant check or a security clearance, covering the Ukrainian documents a screener wants in English: the трудова книжка, the Pension Fund employment record, diplomas, a характеристика from a past employer and the criminal record extract. We also translate US background check results into Ukrainian.
US screening firms verify employment by calling the employer. For a Ukrainian employer that may no longer exist, be in occupied territory or not answer in English, the documents do the job instead.
The трудова книжка and its electronic successor
Anyone who worked in Ukraine before 2021 has a трудова книжка, a small booklet in which each employer wrote the hire date, the position, the order number and the dismissal date and article, then stamped it. Since mid 2021 the record is electronic and the Pension Fund issues an extract of your employment history, with the same entries and the contributions paid. We translate every entry in date order, including a dismissal за власним бажанням, which means at the employee's own request and is the normal way to leave a Ukrainian job.
Характеристика and рекомендаційний лист
A Ukrainian reference is often a характеристика, a formal one-page assessment signed by the director and stamped, written in a style that dates to Soviet personnel files: it states the dates of service, describes the person's duties, discipline and character, and ends with the purpose it was issued for. A modern рекомендаційний лист reads more like a US letter. We translate either word for word, without rewriting the tone, and keep the stamp and signature block.
Diplomas and what a screener can verify
Education verification firms check a Ukrainian diploma against the ЄДЕБО state register by its series and number, and they need the number read correctly from the translation. We keep the series, the number, the registration number and the date exactly as printed, and name the issuing university in its official English form. The додаток до диплома, the transcript of grades, is translated separately if the employer asks for it.
Who is asking for your Ukrainian background check translation?
The translation is the same. What changes is whether the recipient wants anything added to it.
USCIS and the National Visa Center
Green card and visa applications ask for police and court records with a complete English translation and a signed certification. No notarization is needed.
An employer or a professional board checking your record from abroad accepts a certified translation they can read next to the original. Ask whether they want a hard copy.
An FBI or state background check going to another country usually needs an apostille and a translation into that country's language, sometimes notarized.
Three things that save a day of back and forth on a Ukrainian background check.
01
Get the check issued first, then order the translation
Most background checks are valid for a few months. Have it issued, then upload it, so the translation and the original are current together.
02
Send the report the checklist names
A police certificate, a court record and an FBI identity history summary are different documents. Read the employer or consulate checklist and send the one it asks for.
03
Keep the verification code in the scan
Online reports carry a QR code or a reference number that the recipient uses to confirm the result. Scan the whole page so it is translated with the rest.
Details and pricing
What is included in a Ukrainian background check translation
One price per page covers the translation and its certification. A page is up to 250 words, and the quote tells you the page count before you pay.
Everything on the background check is translated, including stamps, seals and handwritten notes. Tell us the English spelling you use for each name when you order.
Is a background check the same as the довідка про несудимість?
No. The довідка про несудимість is one document, the Ministry of Internal Affairs extract on convictions, and it has its own page on this site. A background check is the whole set a screener asks for: identity, employment, education, references and, where the job requires it, the criminal extract. Send the documents your screener listed and we translate each as its own page.
I am an American who needs a US background check for Ukraine. What is required?
For an adoption in Ukraine, and for some residence permit applications, the Ukrainian authority wants a criminal record document from your home country. For a US citizen that is the FBI Identity History Summary or a state police certificate, apostilled, then translated into Ukrainian. We translate the summary and the apostille together.
My трудова книжка has entries in Russian and Ukrainian. Is that one order?
Yes. Booklets opened in the Soviet period are printed in Russian and Ukrainian and the earliest entries are usually in Russian, with later employers writing in Ukrainian. Soviet employers were often renamed several times, a завод becoming a ВАТ and later a ПАТ, so we romanize each name as written and note the later name where the booklet shows the renaming, which helps a screener searching for the company.
How much does a certified translation cost?
Certified translation is $25 per page, with a page counted as up to 250 words. Notarization, a mailed physical copy and an apostille are optional and priced separately.
How long does a certified translation take?
Standard turnaround starts at 24 hours and depends on the length and language of your documents. If you have a deadline, include it in your quote request.
