Hindi background check translation for a US employer's screening, a licensing board, a landlord, a university or an immigration file. The Police Clearance Certificate from Passport Seva is issued in English. The Hindi document is the चरित्र प्रमाण पत्र from the district Superintendent of Police, the police station's verification report, and the character certificate a school or a college hands out with its leaving certificate.
A US form says police certificate or background check, and an Indian applicant may hold any of three papers. Only one of them is in English.
The passport office PCC
The Regional Passport Office issues the PCC through Passport Seva, and Indian consulates issue it to Indians living in the US. It is in English, states that nothing adverse was found, and is what the National Visa Center and IRCC mean by a police certificate, so it needs no translation. Behind it is the verification report the local thana sends up, written in Hindi, and when a PCC is delayed or refused that report is the paper that explains why. We translate the report when an applicant has to answer for it.
The state police character certificate
Applied for through the state portal, the SP's office or an app such as UPCOP, the certificate is printed in Hindi with the applicant's name, father's name, address, the period of residence the thana checked and a line stating whether any case is registered. It is signed by the SP or a deputy with the district seal and carries a number that can be checked online. Screening vendors and licensing boards that want a certificate from every place you have lived accept it with a certified translation, and the translation reproduces the seal and the number.
The school or employer character certificate
A चरित्र प्रमाण पत्र from a school principal or a former employer states that the person bore a good character for the period named, and it travels with the transfer certificate and the marksheets. Verification vendors checking Indian education or employment sometimes ask for it. We translate it and label it as a conduct certificate from a school or an employer, so a US reader does not take it for a police record.
Who is asking for your Hindi background check translation?
The translation is the same. What changes is whether the recipient wants anything added to it.
USCIS and the National Visa Center
Green card and visa applications ask for police and court records with a complete English translation and a signed certification. No notarization is needed.
An employer or a professional board checking your record from abroad accepts a certified translation they can read next to the original. Ask whether they want a hard copy.
An FBI or state background check going to another country usually needs an apostille and a translation into that country's language, sometimes notarized.
Three things that save a day of back and forth on a Hindi background check.
01
Get the check issued first, then order the translation
Most background checks are valid for a few months. Have it issued, then upload it, so the translation and the original are current together.
02
Send the report the checklist names
A police certificate, a court record and an FBI identity history summary are different documents. Read the employer or consulate checklist and send the one it asks for.
03
Keep the verification code in the scan
Online reports carry a QR code or a reference number that the recipient uses to confirm the result. Scan the whole page so it is translated with the rest.
Details and pricing
What is included in a Hindi background check translation
One price per page covers the translation and its certification. A page is up to 250 words, and the quote tells you the page count before you pay.
Everything on the background check is translated, including stamps, seals and handwritten notes. Tell us the English spelling you use for each name when you order.
The screening company wants a police certificate from every country I lived in. Which Indian paper is that?
The PCC from Passport Seva, or from the Indian consulate if you are already in the US, and it comes in English. If the vendor accepts a state police certificate instead, or you lived in India before the PCC existed in its current form, the district certificate in Hindi does the job with a certified translation. Ask the vendor which it wants before you apply, since the two take different routes.
The certificate says no record was found in this police station's records. Is that noted?
Yes. The translation gives the qualification exactly as the certificate words it. A thana-level search covers that station's registers, not a national database, and a US reader is entitled to see that limit. We do not widen the wording into a clean record for the whole country, and a certificate that names the period of residence is translated with that period.
Do I need an Indian police certificate for my immigrant visa?
The National Visa Center asks for one if you lived in India for six months or more after turning 16, and the reciprocity schedule for India names the PCC from Passport Seva or an Indian consulate. That certificate is in English and goes in without a translation. The Hindi district certificate is for employers and licensing boards that ask for it.
How much does a certified translation cost?
Certified translation is $25 per page, with a page counted as up to 250 words. Notarization, a mailed physical copy and an apostille are optional and priced separately.
How long does a certified translation take?
Standard turnaround starts at 24 hours and depends on the length and language of your documents. If you have a deadline, include it in your quote request.
