Hindi employee handbook translation for a US company with a factory, warehouse or back office in Noida, Gurugram, Jaipur, Indore or Lucknow, for Hindi-speaking crews at a US workplace, and in the other direction for an Indian company's Hindi service rules, standing orders or code of conduct that a US parent, buyer or court has to read. We translate into Hindi and from Hindi, laid out beside the English when you want one bilingual document.
Indian labour law does not require an employee handbook, but several things inside one have to be posted in a language the workers read, and in the Hindi states that is Hindi.
Standing orders and the shop floor
For an industrial establishment the disciplinary part of the handbook, the shifts, leave, misconduct and termination clauses, is a set of standing orders certified by the labour authority, and the 1946 Act required the certified text to be posted in English and in the language understood by the majority of the workmen. The labour codes that replaced it in November 2025 keep a certification regime of their own. A translation for the notice board is read by a supervisor with a class 10 education, so we write plain Hindi, keep the clause numbers, and use the terms workers already know from Factories Act notices: कर्मकार, नियोक्ता, अवकाश, कदाचार.
The POSH policy and the complaint notice
Every workplace with ten or more employees has an Internal Committee under the 2013 Act on sexual harassment of women, and the employer must display the consequences of harassment and the order constituting the committee. US handbooks fold this into an anti-harassment chapter; the Indian site needs it as a standalone policy with the committee members' names, the complaint window and the address of the district Local Committee, posted in Hindi in the Hindi states. We translate it as a policy an employee can act on, using the Act's own Hindi title, कार्यस्थल पर महिलाओं का लैंगिक उत्पीड़न अधिनियम, and its term for the committee.
What does not translate from a US handbook
At-will employment has no Indian equivalent; termination in India runs on notice, the standing orders and, for workmen, the retrenchment rules, so a Hindi at-will clause that reads as if it applied misleads both sides. The same goes for FMLA, PTO accrual and jury duty, where India has earned leave, casual leave and sick leave fixed by the state's Shops and Establishments Act. We translate what the policy says, flag where it conflicts with Indian practice so your Indian counsel can adapt it, and never quietly substitute an Indian rule for the American one.
Who is asking for your Hindi employee handbook translation?
The translation is the same. What changes is whether the recipient wants anything added to it.
Employers and HR departments
Employers give staff a handbook in a language they read, and keep a signed acknowledgment of the translated version on file. A certified translation shows the two versions say the same thing.
In a wage, discrimination or safety dispute, the handbook the employee received is an exhibit. A certified translation lets the agency or court compare it to the English original.
Handbooks and employment policies submitted with a work visa petition need a complete English translation and a signed certification from the translator. No notarization is needed.
Three things that save a day of back and forth on a Hindi employee handbook.
01
Send the final version
A handbook is revised often. Upload the version HR has approved, with the acknowledgment page employees sign, so the translation matches what is on file.
02
Send the editable file if you have it
A Word file instead of a scan keeps the headings, tables and section numbers intact, so the translated handbook reads in the same order as the English one.
03
Tell us the terms your company uses
Job titles, department names and policy names often have a house translation already. List them in the order notes and the handbook follows them.
Details and pricing
What is included in a Hindi employee handbook translation
One price per page covers the translation and its certification. A page is up to 250 words, and the quote tells you the page count before you pay.
Everything on the employee handbook is translated, including stamps, seals and handwritten notes. Tell us the English spelling you use for each name when you order.
Our Indian staff all read English. Why translate the handbook into Hindi?
The office staff do. The plant operators, warehouse pickers, drivers, security guards and housekeeping staff on the same site often read Hindi comfortably and English only in part, and those are the people a disciplinary clause gets used on. If a disciplinary case reaches a labour court, an employer who can show the worker signed a policy in a language he reads is on firmer ground. Many companies translate only the parts those workers are bound by and leave the rest in English.
We have Hindi-speaking workers at our US site. What does a US employer have to translate?
US law is narrower than people expect. OSHA requires safety training to be given in a language and vocabulary the worker understands, and a few states require wage notices in the worker's primary language where the state has published a template in that language. Beyond that, translating the handbook is a choice, and employers with Hindi-speaking crews in hotels, gas stations, restaurants and warehouses make it so that the attendance, harassment and safety rules are understood and signed for.
We acquired a company in Jaipur and their service rules are in Hindi. Can you translate them for due diligence?
Yes. Indian HR files from a Hindi-speaking state typically hold a सेवा नियमावली, the service rules, the certified standing orders with the certifying officer's stamp, a leave policy, and gratuity and provident fund rules. We translate them with the clause numbers kept so your counsel can cross-reference the English with the Hindi, and keep Indian terms such as gratuity, earned leave and workman with their statutory meaning rather than mapping them to US ones.
How much does a certified translation cost?
Certified translation is $25 per page, with a page counted as up to 250 words. Notarization, a mailed physical copy and an apostille are optional and priced separately.
How long does a certified translation take?
Standard turnaround starts at 24 hours and depends on the length and language of your documents. If you have a deadline, include it in your quote request.
